Truvar Academy Policies
The official published policies governing enrollment in AI Skills for Workplaces and the learner experience: admissions, fees, refunds, attendance, assessment, certificates, accreditation, conduct, data and support. The approved master version is maintained by Truvar.ai; contact business@truvar.ai with any policy question.
Accessibility Statement
This statement covers digital accessibility and access to Academy services.
Commitment
- Truvar.ai aims to make website information, enrollment and learning materials usable by people with different access needs. Accessibility is considered during design, content publication and course planning.
- The website team should use semantic headings, keyboard access, readable contrast, meaningful link text, form labels, error identification, captions or transcripts where appropriate, and alternatives for essential images.
Known limitations
- Third-party tools, payment pages, embedded media or older documents may not provide the same level of accessibility. Truvar.ai will offer a reasonable alternative where practical and should not describe third-party content as fully accessible without verification.
Requesting support
- A visitor or learner may contact business@truvar.ai to request information in an alternative format or describe an access barrier. The request should identify the page, material, preferred format and relevant deadline.
- Course adjustments are handled under the Equality Inclusion and Adjustments Policy. Adjustments support access but do not remove essential competence requirements.
Course Enrollment Terms
These terms form the core agreement for enrollment in AI Skills for Workplaces and must be accepted before payment.
Course identity and scope
- AI Skills for Workplaces is an in-person Continuing Professional Development course. It includes eight scheduled sessions of hands-on blocks, totaling 32 scheduled contact hours.
- The course is non-degree and non-diploma. Truvar.ai owns the course, curriculum and related intellectual property and issues the Certificate of Completion.
- The current course is delivered at Mivida, New Cairo or another approved venue stated in the enrollment confirmation. Recordings are supporting resources and do not convert the course into online delivery.
Enrollment contract
- An application or payment attempt does not guarantee a place. The contract begins when Truvar.ai confirms eligibility, availability, payment or deposit status and enrollment in writing.
- The enrollment confirmation should state the cohort dates, venue, fee, payment schedule, included resources, refund terms and any approved adjustment.
- A learner must provide accurate information and promptly correct a material change affecting eligibility, safety, payment or participation.
Learner requirements
- The learner must bring a suitable laptop, maintain access to the personal email used for course permissions, follow venue and technology rules, and participate in practical work.
- The learner must protect confidential information, use authorized or anonymized data, and comply with the Code of Conduct, Academic Integrity Policy and Responsible AI and Data Use Policy.
- The learner is responsible for reviewing the schedule and policies before accepting the place.
Included services
- Enrollment in the complete program covers eight scheduled sessions, approved course materials, the Claude subscription provided as stated in the enrollment confirmation, the Truvar.ai MCP Server and Skills, community and instructor support, session recordings for catch-up, assessment of the final working assistant, up to two resubmissions and a certificate if all requirements are met.
- Features, external tool plans or benefits not stated in the written enrollment confirmation are not included merely because a third-party product or general website page mentions them.
Completion
- Payment alone does not guarantee completion or a certificate. The learner must attend at least seven of eight sessions, submit mandatory evidence and demonstrate a functioning useful assistant at the required competence standard.
- The final result is pass or not yet competent. Percentage grades are not used. Two resubmissions are available after targeted feedback.
No external outcome guarantee
- Truvar.ai does not guarantee employment, promotion, income, clients, investment, employer adoption, production deployment or a particular commercial result. Outcomes depend on the learner, workplace permissions, tool availability and external decisions.
Admissions and Eligibility Policy
This policy explains the open-enrollment approach and practical entry requirements.
Eligibility
- University graduate.
- Intermediate English.
- Recent workplace experience.
- Laptop and stable internet access.
- No prior AI, coding or technical experience required.
- No separate minimum-age requirement.
Enrollment period
- Enrollment normally opens three weeks before the cohort start date and closes one week before the start date. It may close earlier when the 20-participant limit is reached.
- The course uses open enrollment rather than competitive academic selection. Eligible applicants may be offered the next cohort when the current cohort is full.
Process
- The applicant receives approved course information and eligibility questions. Admissions checks the stated requirements and answers questions.
- Before payment, the applicant receives the fee, refund terms, schedule, attendance requirement, assessment standard, recording notice and relevant privacy information.
- The applicant provides enrollment data and required consent. A 5 percent deposit may secure the place subject to availability and written confirmation.
- The Registrar creates the student record and sends confirmation. Technical access instructions follow before the course begins.
Fairness and adjustments
- Applicants are treated consistently and without unlawful discrimination. A person may raise an accessibility need before enrollment so Truvar.ai can assess a reasonable adjustment.
- An adjustment may change how evidence is accessed or presented but will not remove the required competence standard.
Applicants unable to contract alone
- Where an applicant is below the legal age or otherwise unable to enter the contract alone, lawful parent, guardian or representative consent may be required. This is a contracting safeguard and not a separate academic age threshold.
Fees, Payments and Discounts Policy
This policy makes the price, deposit, discounts and payment obligations visible before enrollment.
Published price
- The full fee for the complete eight-session program is EGP 20,000 unless a different written offer is approved and displayed before checkout.
- A 5 percent deposit secures a place after eligibility and availability are confirmed. The invoice or checkout must state the balance due date and whether any tax or payment-provider charge is included.
- The complete price, currency, payment schedule and included services must be visible before the learner confirms payment.
Payment methods
- Available cards, bank transfer, payment links, wallets, installments or other methods will be displayed at checkout or on the invoice. Availability may depend on the payment provider and country.
- Truvar.ai should not collect complete card credentials directly unless an approved compliant payment system is used. Payment providers process their own regulated payment data under their terms.
Discounts
- The approved referral benefit is 10 percent for both eligible parties. The approved group benefit is 15 percent for a group of three or more, subject to written confirmation.
- A promotion must state eligibility, calculation, expiry, capacity and whether it may be combined with another offer. Discounts have no cash value and cannot be applied retrospectively unless the written promotion says otherwise.
- No staff member may promise an unapproved discount or outcome. The amount on the written enrollment confirmation controls.
Invoices and payment evidence
- The learner should retain the invoice, receipt and written enrollment confirmation. Truvar.ai will maintain payment status and refund records in the controlled student record.
- If a payment fails or is reversed, Truvar.ai may place enrollment or access on hold while the matter is resolved. A genuine billing dispute should be raised before initiating a chargeback so the transaction can be reviewed.
Corporate and sponsored enrollment
- Where an employer or sponsor pays, the learner remains responsible for academic and conduct requirements. The payer receives only the information agreed in the sponsorship arrangement and permitted by privacy law.
- A sponsor’s non-payment may affect the commercial arrangement but must not be used to change a completed academic result.
Cancellation, Refund, Deferral and Transfer Policy
This policy states the approved cancellation windows and a recommended clarification for late pre-course cancellations.
Refund schedule
| Cancellation timing | Contractual outcome |
|---|---|
| At least seven calendar days before the start date | 100 percent refund of amounts paid. |
| Four to six calendar days before the start date | 50 percent refund of amounts paid. |
| Fewer than four calendar days before the start date | Recommended rule: no contractual refund, subject to mandatory law. This point requires final approval before publication. |
| After the course begins | No refund. An approved deferral to the next cohort may be offered. |
How to cancel
- The learner must send a written cancellation request to the contact stated in the enrollment confirmation. The received date and Cairo time determine the applicable window.
- Truvar.ai will acknowledge the request, confirm the calculation and process an approved refund through an appropriate method. Processing time may depend on the payment provider and applicable law.
Deferral
- A deferral is not automatic. Truvar.ai may approve transfer to the next available cohort after considering capacity, timing, attendance, learner circumstances and any price difference.
- A deferral should be confirmed in writing and used within the stated period. Unless required by law or expressly agreed, repeated deferral is not guaranteed.
Transfer to another person
- An enrollment may not be sold or transferred without written approval. A proposed substitute must satisfy the eligibility requirements, complete enrollment and consent steps, and join before the academic cut-off.
- A transfer will not be approved after personal course access, substantial materials or assessment activity has been used, unless Truvar.ai decides otherwise for a documented reason.
Mandatory rights
- Nothing in this policy limits a refund or remedy that must be provided under applicable consumer law. If the course delivered materially differs from the confirmed service, the learner may raise a complaint and request the remedy required by law.
Course Changes, Cancellation and Force Majeure Policy
This policy explains what happens if Truvar.ai changes or cannot deliver part of a cohort.
Reasonable changes
- Truvar.ai may make reasonable changes to instructors, room, sequence, supporting examples or tools where the learning outcomes, scheduled hours and assessment standard remain materially equivalent.
- A material change to dates, delivery mode, total scheduled hours, venue city, assessment or included service will be communicated promptly with available options.
Session rescheduling
- If a session cannot proceed, Truvar.ai may arrange a replacement date, suitable venue or equivalent instructor. A recording alone should not replace a scheduled in-person session for the entire cohort unless the affected learners accept an appropriate solution.
- The Academy will consider documented learner conflicts caused by a reschedule and may provide a catch-up, alternative session or deferral.
Academy cancellation
- If Truvar.ai cancels the complete cohort before it starts, the learner may choose an available replacement cohort or a refund of amounts paid for that cohort.
- If Truvar.ai permanently stops a cohort after it starts, the remedy will reflect the undelivered portion and applicable law. Completed and usable components may be considered only where lawful and fair.
Force majeure
- Events outside reasonable control may include serious safety events, venue closure, public authority action, transport disruption, infrastructure failure, epidemic, civil disturbance or failure of a critical third-party service despite reasonable precautions.
- Truvar.ai will take reasonable steps to reduce disruption, communicate updates and offer a proportionate reschedule, alternative or remedy. Force majeure does not remove mandatory consumer rights.
Attendance and Participation Policy
This policy states the attendance threshold, evidence method and expectations for practical participation.
Attendance requirement
- A learner must attend at least 80 percent of the eight sessions. For this program, the minimum is seven complete sessions.
- Attendance is recorded through QR check-in and a controlled spreadsheet. A learner must not check in for another person or alter attendance evidence.
Lateness and early departure
- Late arrival or early departure may be recorded where a substantial part of the session is missed. The Program Director may require catch-up evidence but may not count a recording as live attendance.
- A learner should notify Student Support as soon as possible when an absence or delay is expected.
Recordings and catch-up
- Session recordings are shared with enrolled participants for revision and missed-session catch-up. Watching a recording does not satisfy the attendance requirement.
- A learner remains responsible for reviewing missed content, completing practical evidence and asking questions before later tasks depend on that content.
Participation
- Learners are expected to bring a working laptop, follow instructions, participate in exercises, protect other people’s information and avoid conduct that disrupts learning.
- An approved reasonable adjustment may change participation method but will not remove essential attendance or competence requirements unless the Program Director documents an equivalent lawful approach.
Assessment, Resubmission and Appeals Policy
This policy explains the competency-based decision, evidence requirements, resubmissions and appeal process.
Assessment model
- Assessment is competency-based pass or not yet competent. The course does not use a percentage grade.
- The learner must build, test, explain and hand over a useful automation for a real repetitive problem using authorized or anonymized information.
Required evidence
- Session exercises and portfolio outputs.
- Configured assistant and organized knowledge pack.
- Three reusable workplace procedures.
- Two tested automation workflows.
- Final automation with workflow map, test evidence, business model and operating guide.
- Live or recorded demonstration and responses to assessor questions.
- Individual contribution evidence where work is completed in pairs.
Pass requirements
- The learner must attend at least seven of eight sessions, submit all mandatory project evidence, demonstrate a functioning useful assistant, satisfy every critical competence area and comply with academic integrity and data-use rules.
- The instructor records the initial decision and evidence. The Program Director reviews and confirms the result. A second assessor may review borderline, disputed or appealed cases.
Resubmission
- A learner assessed as not yet competent receives written feedback identifying missing evidence. The learner may resubmit twice within the timeframe communicated by the Program Director.
- Only deficient elements need correction unless the change affects the complete workflow. Resubmission does not guarantee a pass; the evidence must meet the same competence standard.
Assessment appeal
- An appeal must be submitted in writing within five working days of the result and state the challenged decision, reason and supporting evidence.
- Eng. Amr Elkady logs the appeal and checks process compliance. A reviewer who was not responsible for the original decision examines the evidence and assessment record.
- A written outcome is issued and recorded. The review may uphold, amend, require reassessment or return the decision for correction. Disagreement with academic judgment alone is not enough unless evidence shows an error, inconsistency, bias or material procedural failure.
Certificate and Verification Policy
This policy explains when a Certificate of Completion is issued and how QR verification works.
Eligibility for a certificate
- A certificate is issued only after attendance, assessment, academic-integrity, identity and records checks are complete and all applicable payment obligations are resolved lawfully.
- Participation, payment or viewing recordings without demonstrated competence does not create a right to a certificate.
Certificate content
- Truvar.ai as issuer.
- Verified participant name.
- AI Skills for Workplaces course title.
- Completion date and year.
- 32 training hours.
- QR verification link to an official Truvar.ai profile.
- Only accreditation wording formally approved for use at the issue date.
- Signatures of Eng. Ahmed El Dakroury and Dr. Walaa Elghitany.
QR graduate profile
- The QR link opens an official Truvar.ai page showing the graduate, course completion, approved project summary, demonstrated capabilities and approved project media.
- The learner must be informed before public profile publication. If promotional project media is optional, separate consent must be obtained. Minimal credential verification may remain available to protect certificate integrity even if optional promotional content is withdrawn.
- The current approved certificate specification does not display a certificate number. Internal records must still link the issued certificate to the verified learner and issue event.
Corrections, revocation and misuse
- A graduate should request correction promptly if a certificate or profile contains an error. Truvar.ai may replace the certificate after verifying the record.
- Truvar.ai may suspend or revoke verification where a certificate was issued through fraud, impersonation, material assessment misconduct or administrative error. The person will receive notice and an opportunity to respond where appropriate.
- Certificates may not be altered, sold or presented as a degree, diploma, license, regulated qualification or unapproved accreditation.
Accreditation and Public Claims Policy
This policy controls public wording about accreditation, recognition and learner outcomes.
Current status
- Truvar.ai is internationally accredited by the International Accreditation Organization (IAO) and is officially recognized as the First AI Academy in Egypt to earn IAO International Accreditation. The accreditation is valid through 21 September 2027 and can be verified on the IAO website.
- The approved public wording is: “The First IAO Accredited AI Academy in Egypt.” The IAO digital seal may be displayed with a link to the IAO verification page, per the written approval granted by IAO (International Relations Department).
- Truvar.ai is also an Official Accredited Provider recognized by the CPD Standards Office (UK), Registered Provider No. 51215. The AI Skills for Workplaces course is independently accredited as a CPD Activity (32 CPD hours) and can be verified via the official CPD digital credential on Credsverse.
- Unlike the institutional IAO accreditation, CPD accreditation applies to the provider registration and to the accredited CPD activity listed in the official activity log; the CPD digital badge may be displayed with a link to the Credsverse credential page.
- Accreditation is institutional: it is granted to Truvar AI as an organization. Courses and certificates must not be described as “IAO-accredited”, “accredited courses” or “accredited certificates”; course credentials remain Truvar.ai Certificates of Completion for CPD courses and are not degrees or diplomas.
- Renewal: the accreditation must be renewed before 21 September 2027. Marketing and claims must be reviewed on or before 21 August 2027, and any expired accreditation statement must be removed from public pages.
Course classification
- AI Skills for Workplaces is a Continuing Professional Development course. It is not a degree, diploma, academic award, professional license or government qualification.
- The completion certificate verifies that the learner met Truvar.ai’s attendance and competency requirements. It does not guarantee that an employer, university, authority or professional body will recognize it for a particular purpose.
Outcome claims
- Marketing may describe the skills, exercises and evidence included in the course. It must not guarantee employment, salary, clients, investment, promotion, deployment, return on investment or commercial success.
- Graduate numbers, completion rates, reviews, employer outcomes and project results may be published only when verified, dated, representative and approved. Paid or incentivized testimonials must be disclosed where required.
Approval and archive
- Marketing prepares the claim, the Program Director checks academic facts, Quality Assurance checks accreditation and outcome wording, and the Founder and Chief Executive Officer approves material publication.
- The Marketing Manager must archive the approved version, evidence, channels and publication date. Website and campaign claims are reviewed before publication and monthly while enrollment is open.
Learner Code of Conduct
This code protects a respectful, safe and practical learning environment.
Expected conduct
- Treat learners, staff, instructors, venue personnel and guests with respect.
- Follow reasonable academic, safety, venue and technology instructions.
- Participate constructively and avoid repeated disruption.
- Protect personal, confidential and course information.
- Use only authorized accounts, data, software and equipment.
- Respect intellectual property and attribute sources where required.
- Communicate professionally in class, email, WhatsApp and the learner community.
- Report safety, harassment, security or integrity concerns promptly.
Prohibited conduct
- Harassment, discrimination, intimidation, threats, violence or retaliation.
- Impersonation, cheating, fabrication, plagiarism or unauthorized collaboration.
- Recording, photographing or distributing people or restricted material without authorization.
- Uploading confidential, personal or regulated data into AI tools without authority.
- Attempting unauthorized access, bypassing permissions or introducing harmful code.
- Commercial solicitation, spam or unrelated promotion in the learner community.
- Attending under the influence of a substance in a way that creates risk or serious disruption.
- Misrepresenting Truvar.ai, the course, accreditation or another learner’s work.
Response
- Minor concerns may be addressed through guidance and a documented warning. Serious or repeated concerns may result in access restrictions, removal from a session, formal investigation, conditions, suspension or termination of enrollment.
- Urgent action may be taken to protect safety, data or evidence. A final disciplinary decision should follow notice of the allegation, a reasonable opportunity to respond and proportionate review.
Academic Integrity Policy
This policy defines authentic work in a course that actively uses AI tools.
Authentic evidence
- Learners may use approved AI tools as part of the course. The learner must still understand, test, explain and operate the submitted automation.
- The learner must identify significant sources, assumptions, third-party components and AI-generated content where relevant to the assessment.
- A submitted project must reflect the learner’s own contribution. Pair work requires evidence of each person’s role and competence.
Misconduct
- Fabricated tests, users, results, screenshots, business evidence or citations.
- Impersonation or another person completing the assessed work.
- Plagiarism or presenting another person’s workflow, prompt, code or design as original.
- Unauthorized sharing of assessment tasks, answers or restricted project data.
- Using confidential or personal data without permission.
- Presenting a draft external action as completed when it was not performed.
- Inability to explain or reproduce the submitted work where explanation is part of competence.
Investigation and outcome
- The learner will be told the concern and given a reasonable opportunity to respond. Relevant versions, logs, demonstrations and explanations may be reviewed.
- Possible outcomes include no case, guidance, correction, reassessment, resubmission restriction, not-yet-competent decision, failure or disciplinary action. The outcome must be proportionate and recorded.
- The learner may appeal a material procedural error, bias or unsupported decision under the Assessment Appeals Policy.
Responsible AI and Data Use Policy
This policy applies when learners use Claude or another AI system during course work.
Human responsibility
- AI output is a draft or recommendation until a competent person reviews it. The learner remains responsible for the use, accuracy and consequences of the output.
- Consequential actions involving money, employment, legal rights, health, safety, customer commitments or external publication require an appropriate human approval step.
Data rules
- Use fictional, anonymized, de-identified or expressly authorized data for exercises and projects. Remove names, identifiers, credentials, trade secrets and unnecessary detail before uploading content.
- Do not upload employer, client, patient, employee, financial, legal or confidential data unless the data owner has authorized the specific use and the tool, settings and transfer are approved.
- Do not place passwords, API keys, access tokens, identity documents or payment-card data into prompts, shared folders or screenshots.
Testing and verification
- Define the intended user, task, input and success criteria.
- Test normal, missing, ambiguous and conflicting inputs.
- Check sources, calculations, dates and factual claims.
- Document limitations, prohibited uses, approval steps and recovery actions.
- Verify the actual destination output when a workflow writes to email, documents, sheets, CRM or another system.
- Stop or escalate when confidence, authorization or impact exceeds the approved boundary.
Fairness and prohibited use
- Learners must consider whether data or instructions could create unlawful discrimination, exclusion or unfair treatment. Sensitive decisions must not rely solely on an unverified AI output.
- The course must not be used to create malicious code, deception, harassment, unlawful surveillance, impersonation, rights infringement or prohibited content.
Tool terms
- Third-party AI providers have their own terms, privacy settings, retention rules and service limits. Learners should use only authorized accounts and must review the relevant settings before adding data.
- Model behavior and availability can change. Truvar.ai teaches transferable concepts but does not control or guarantee a third-party model, subscription or feature.
Intellectual Property and Course Materials Policy
This policy separates Truvar.ai course ownership from learner ownership of original project work.
Truvar.ai materials
- Truvar.ai owns the course, curriculum, lesson design, templates, manuals, assessment materials, recordings, brand assets and associated intellectual property, subject to any third-party licensed content.
- Enrollment gives the learner a limited, personal, non-exclusive, non-transferable license to use the provided materials for learning and internal application. It does not permit resale, public distribution, competing training, bulk copying or removal of ownership notices.
Learner work
- The learner retains ownership of original project material created by the learner, excluding Truvar.ai materials and third-party content incorporated into it.
- The learner is responsible for having the right to use project data, examples, logos, documents, software and other material. Employer or client ownership rules may apply independently of this course.
- Submission grants Truvar.ai a limited license to review, store, assess, moderate and verify the work for course administration, quality, complaints and accreditation evidence.
Showcase permission
- Truvar.ai must obtain separate permission before using a learner’s project, image, video, quote or detailed story for public promotion, except for the minimum certificate-verification information explained before enrollment.
- Showcase permission may define the approved content, channels, duration and withdrawal method. Withdrawal applies prospectively and may not require recall of material already lawfully printed or incorporated into completed records.
Third-party rights
- Open-source, stock, AI-generated and third-party components remain subject to their licenses and terms. The learner must not assume that AI-generated content is free of third-party rights or safe for commercial use.
Digital Access and Third Party Tools Policy
This policy explains the current Google Drive model and use of personal email and external tools.
Current delivery model
- The course is delivered in person. Google Drive supports course materials, submissions and recordings; it is not represented as a dedicated learning management system.
- A dedicated LMS may be introduced only after requirements, privacy, security, accessibility, assessment and migration controls are approved.
Access setup
- The Registrar confirms the enrolled participant and personal email. IT grants cohort-specific access using least privilege. The learner confirms access during the pre-course check.
- Learners may access shared course materials and only their own restricted records or submission area. Instructors access materials and learner work needed for teaching and assessment. Registrar and IT permissions are limited by role.
- Access changes are logged and removed at the approved time. Public links must not be used for restricted learner material.
Personal accounts
- Learners are responsible for the security and continued access of the personal email and third-party accounts they use. They must not share login links or permit another person to act as them.
- A learner who loses access should contact support promptly. Truvar.ai may verify identity before restoring or changing permissions.
Third-party availability
- Google, Anthropic and other tools operate under their own terms and may change features, limits or availability. Truvar.ai will use reasonable alternatives where a material third-party change affects the approved course, but cannot guarantee an external service.
- Learners must follow provider terms, workplace rules and this policy. External subscriptions beyond what is stated in the enrollment confirmation are the learner’s responsibility.
Session Recording, Photography and Media Policy
This policy distinguishes learning recordings from optional promotional use.
Learning recordings
- Scheduled sessions may be recorded so enrolled participants can review or catch up. The enrollment journey must provide a clear recording notice before the learner commits.
- Recordings are shared only with enrolled participants and authorized staff. They do not count as live attendance and must not be downloaded, reposted, edited or distributed unless written permission allows it.
- Recordings are normally retained for 12 months after cohort completion unless a shorter period is required by consent or a longer period is necessary for a documented complaint, investigation or legal hold.
Participant choices
- Where practical, a participant who does not wish to appear on camera may keep the camera off or choose a suitable seating position. Spoken participation may still be captured when the participant asks a question or joins a discussion.
- A participant should notify Student Support before the first session if a recording creates a serious access, privacy or safety concern so a reasonable arrangement can be assessed.
Promotional media
- Use of a learner’s image, voice, quote, testimonial, project media or personal story for marketing requires separate, specific and voluntary consent. Promotional consent is not a condition of enrollment or assessment.
- The consent record should identify approved content, channels and withdrawal contact. Staff must not pressure learners to provide testimonials or media permission.
Learner recording
- Learners may not record classes, screens, participants or confidential discussions without prior written approval. An accessibility-related recording request will be considered as a reasonable adjustment and may include confidentiality conditions.
Community and Communications Policy
This policy applies to course groups, email, WhatsApp and direct contact with instructors.
Purpose
- The learner community supports course questions, peer learning, announcements and access to teaching staff. It is not a public forum, emergency service or channel for unrelated advertising.
- Learners may contact instructors and teaching staff for course-related inquiries. Response times may vary outside scheduled sessions, weekends and public holidays.
Community rules
- Use respectful professional language.
- Keep messages relevant to the course or learner support.
- Do not post confidential, personal or assessment-sensitive information.
- Do not share another person’s contact details, screenshots or messages without permission.
- Do not spam, solicit, recruit, advertise or repeatedly contact another participant after being asked to stop.
- Verify important academic or payment decisions through an official written channel.
Moderation
- Truvar.ai may remove content, limit posting or remove a member where needed to protect participants, evidence, systems or the purpose of the community. Serious conduct may be referred to the disciplinary process.
- Community content should not be treated as confidential advice from Truvar.ai unless an authorized staff member clearly confirms it through the appropriate channel.
Equality, Inclusion and Adjustments Policy
This policy supports fair access while preserving essential competence requirements.
Equal treatment
- Truvar.ai will not unlawfully discriminate in marketing, admission, delivery, assessment, support or complaints. Decisions should rely on relevant published requirements and documented evidence.
- Harassment, victimization and retaliation are prohibited. A person who raises a good-faith concern will not be penalized for doing so.
Reasonable adjustments
- An applicant or learner should request an adjustment as early as possible and explain the barrier, requested support and relevant timing. Supporting information may be requested only where necessary.
- Possible adjustments may include accessible formats, seating, breaks, communication method, assistive technology, additional preparation time or an alternative way to present equivalent evidence.
- An adjustment cannot remove an essential learning outcome, safety control or competence requirement. If a requested adjustment is not feasible, Truvar.ai should explain the reason and discuss a reasonable alternative.
Confidentiality
- Adjustment information is restricted to staff who need it for planning or safety. Instructors receive practical instructions rather than unnecessary medical detail.
Health, Safety and Emergency Policy
This policy covers in-person delivery at the Mivida office and approved partner venues.
Venue capacity and access
- The operational maximum is 20 participants for the small-cohort venue. Truvar.ai may use other venues under formal agreements and must confirm appropriate capacity, access and emergency arrangements before delivery.
- Learners must follow venue management, fire, security, access and evacuation instructions. Emaar does not issue a separate occupancy-capacity statement for the office; Truvar.ai applies its own maximum of 20 participants.
Before each cohort
- Confirm room, access, exits, assembly point and emergency contacts.
- Check fire-safety and first-aid information available from building or venue management.
- Confirm equipment layout, cables, internet and electrical safety.
- Brief Eng. Amr Elkady and instructors on the procedure.
- Record any venue-specific accessibility or emergency arrangements.
Learner responsibilities
- Learners should report hazards, incidents, illness or access needs promptly, keep exits clear, use equipment safely and comply with reasonable emergency instructions.
- A learner should not attend in a condition that creates a significant health or safety risk to others. Truvar.ai may provide a catch-up option subject to the attendance policy.
Emergency response
- In an emergency, protect life first, follow venue instructions, contact emergency services where required, account for participants at the assembly point and document the incident after immediate risk is controlled.
- Personal data may be shared with emergency services or venue personnel where necessary to protect vital interests or meet legal duties.
Learner Support Policy
This policy tells learners how to obtain academic, administrative and technical help.
Support contacts
| Support area | Primary owner |
|---|---|
| Academic content and project guidance | Instructor and Dr. Walaa Elghitany |
| Program decisions and academic escalation | Dr. Walaa Elghitany |
| Student support | Ms. Engy Eldeib |
| Registration and records | Ms. Sugar |
| Quality complaints and appeals log | Eng. Amr Elkady |
| Technical access | Mr. Abdulrahman Fathi |
| Marketing and enrollment communications | Mr. Mohaned Ali Hassan Mohammed and Sales Department |
Available support
- Learners may use the course community, direct instructor contact, Student Support and technical support. Session recordings and course files provide catch-up support but do not replace attendance or assessment.
- Support helps the learner understand requirements, solve access problems and improve evidence. Staff will not complete assessed work for the learner or guarantee an external business outcome.
Escalation
- An urgent safety or security concern should be reported immediately. Academic questions should go first to the instructor, administrative issues to Student Support or Registrar, and unresolved service concerns to the Complaints Policy.
- Official decisions about fees, assessment, discipline, complaints or certification should be confirmed in writing and stored in the student record.
Complaints Policy
This policy provides a fair route for service, conduct, accessibility, privacy or administrative complaints.
Informal resolution
- Where appropriate, raise the concern promptly with Student Support or the staff member responsible. Many misunderstandings can be corrected without a formal investigation.
- A person may move directly to a formal complaint where the issue is serious, sensitive, repeated, involves the first contact or has not been resolved.
Formal complaint
- Submit the complaint in writing with the learner name, contact details, relevant dates, issue, people involved, evidence, steps already taken and requested outcome.
- Eng. Amr Elkady records the complaint, acknowledges it, identifies conflicts of interest and appoints a suitable reviewer. A person materially involved in the issue should not be the sole decision-maker.
- The reviewer may request information, interview relevant people and protect confidentiality as far as possible. The complainant receives a written outcome, reasons and any corrective action that may be disclosed.
Timing and cooperation
- Complaints should be raised while evidence is available. Truvar.ai should acknowledge a formal complaint within five working days and aim to issue a substantive outcome within 15 working days. If more time is reasonably required, the complainant should receive an update and revised date.
- All parties must act honestly, preserve evidence and avoid retaliation. Deliberately false or abusive complaints may be handled under the conduct process, but an unproven good-faith complaint is not misconduct.
Review and external rights
- A review request should identify a material factual, procedural or conflict-of-interest concern. The review should be performed by a person not responsible for the original outcome where practical.
- The internal process does not remove any right to contact the Egyptian Consumer Protection Agency, a data protection authority, an accrediting body, a court or another competent authority. The Egyptian Consumer Protection Agency publishes complaint information at cpa.gov.eg and the hotline 19588.
Disciplinary Policy
This policy provides proportionate action for serious or repeated breaches.
Possible stages
- Depending on severity, the response may include informal guidance, written warning, access condition, removal from a session, suspension, reassessment, termination of enrollment or certificate review.
- Truvar.ai may take immediate temporary action where necessary to protect safety, systems, people, confidential data or evidence. Temporary action is not a final finding.
Fair process
- The learner should receive the allegation, relevant policy, available evidence and a reasonable opportunity to respond. The investigator and decision-maker should disclose material conflicts.
- The decision should state the finding, evidence, action, duration, conditions and review route. The record must be restricted to authorized staff.
Serious matters
- Violence, credible threats, serious harassment, fraud, impersonation, malicious system activity, dangerous conduct or major confidential-data misuse may justify immediate removal and referral to venue management, authorities or affected organizations where lawful.
- Termination for conduct does not automatically create a refund right. Any financial outcome remains subject to applicable law and the circumstances of the breach.
Safeguarding and Younger Participants Policy
This policy addresses the possibility of a participant who is below the legal contracting age while preserving the confirmed no-minimum-age position.
Course context
- The course is designed for university graduates with recent workplace experience and is normally an adult professional learning environment. There is no separate academic minimum-age rule.
- If an applicant is below the age at which the person can enter the enrollment contract independently, Truvar.ai will require appropriate parent or legal guardian involvement and consent.
Controls
- Confirm identity, guardian relationship and emergency contact through an approved process.
- Explain course recordings, community communications, venue access and data handling to both participant and guardian.
- Use official, traceable communication channels and avoid inappropriate private contact.
- Do not use a younger participant’s image, project or testimonial for marketing without required consent.
- Escalate a credible welfare concern to the Program Director and appropriate authorities where required.
- Keep safeguarding information confidential and accessible only to people who need it.
Immediate risk
- Where there is an immediate risk of harm, staff should contact emergency services or venue security as appropriate before completing internal reporting. Staff must not promise absolute confidentiality when disclosure is necessary to protect a person or comply with law.
Student Records and Data Retention Policy
This policy explains what records are held, who may access them and how long they are kept.
Record categories
- Application, eligibility, consent and enrollment confirmation.
- Payment, invoice, discount, refund and deferral status.
- Attendance by session and participant.
- Assessment evidence, feedback, decisions, resubmissions and moderation.
- Complaints, appeals, discipline, incidents and corrective action.
- Certificate issue, replacement, suspension and verification.
- Digital access, permission changes and relevant security logs.
Access
- Students may access their own information through the approved request process. Teaching staff, Registrar, Program Director, Quality Assurance and IT receive only the access needed for their role.
- Authorized accreditation or regulatory reviewers may see relevant records under controlled conditions. Other learners, employers and sponsors do not receive a person’s detailed record without authority or a lawful basis.
Retention schedule
| Record | Default retention |
|---|---|
| Inquiry and incomplete application | Recommended 24 months after last meaningful contact, unless consent or law supports another period. |
| Enrollment, attendance and core academic record | Seven years after completion or withdrawal. |
| Assessment evidence, feedback, moderation and appeals | Seven years after completion or withdrawal. |
| Certificate verification minimum record | Permanent minimal record. |
| Session recordings | 12 months after cohort completion unless a documented exception applies. |
| Payment, tax and invoice records | Period required by applicable tax, accounting, consumer and limitation laws. |
| Access and security logs | Normally 12 months, longer for a documented incident or legal hold. |
| Marketing consent | While active plus a minimal suppression record after opt-out. |
| Complaints, discipline and incidents | Seven years after closure where proportionate to risk and legal needs. |
Accuracy and change control
- The Registrar records academic results and certificate data. IT administers permissions but may not change academic decisions. Changes to a result require authorized evidence, reason, approver and audit trail.
- A learner should request correction of inaccurate identity or contact information. A correction request cannot erase a valid academic decision merely because the learner disagrees with it.
Deletion and legal hold
- When the approved period ends, records are securely deleted or anonymized unless a complaint, dispute, investigation, legal duty or authority request requires preservation.
- A legal hold suspends routine deletion only for relevant records and must be reviewed when the matter ends.
Marketing Communications, Reviews and Promotions Policy
This policy governs email, WhatsApp, advertising, reviews, referrals and promotional offers.
Marketing consent and choice
- Marketing messages should be sent only where consent or another lawful basis applies. The enrollment contract must not be conditional on optional marketing consent.
- Every electronic marketing route should provide a clear opt-out. Operational messages about an inquiry, payment, schedule, safety, course access or certificate are not marketing merely because they use the same channel.
Email and WhatsApp
- Forms should state whether the person is requesting a response, joining a marketing list or both. A general contact request should not silently subscribe the person to unrelated campaigns.
- WhatsApp marketing should identify Truvar.ai, respect reasonable contact times, avoid sensitive information and honor stop requests promptly.
Reviews and testimonials
- Reviews must reflect a real person’s honest experience. Staff must not create, edit into a misleading meaning or present a simulated review as genuine.
- Any payment, discount, prize, free service or other material incentive connected to a testimonial must be disclosed where required. Permission should cover the name, image, words, channels and duration used.
- A review should not imply typical earnings, employment or business outcomes without reliable substantiation and clear context.
Promotions, referrals and urgency
- A discount, referral, group offer, bonus, deadline or seat count must be genuine, documented and applied as stated. A timer must not reset misleadingly, and false scarcity must not be used.
- The page must display eligibility, value, expiry, combination rules, limited capacity and important exclusions near the offer.
- Order bumps, upsells or cross-sells must be optional and clearly priced. A buyer should not need to opt out of a preselected paid add-on.
Claim approval
- Course duration, format, certificate, accreditation, instructor, product-access and outcome statements must match the approved fact set. Material marketing requires academic, quality and executive approval before release.
- Published versions and evidence should be archived. The active website should be reviewed monthly while enrollment is open.
Electronic Checkout, Subscriptions and Installments Policy
This policy supports transparent mobile-first checkout for Egypt and GCC buyers without creating hidden recurring obligations.
Pre-contract information
- Legal seller identity and contact information.
- Course title, delivery mode, dates, location and included services.
- Total price, currency, taxes, processor charges and payment schedule.
- Deposit amount and whether it is included in the total.
- Cancellation, refund, deferral and course-change terms.
- Attendance, assessment and certificate requirements.
- Recording, privacy and third-party tool notices.
- Any recurring charge, installment provider, financing cost or renewal date.
Checkout consent
- The buyer must actively confirm the order and accept the Course Enrollment Terms, Refund Policy and Privacy Policy. Optional marketing, media and non-essential cookie consent must use separate choices.
- The final button should make the payment obligation clear. Paid add-ons must not be preselected. A receipt and enrollment status should be provided after payment.
Installments and financing
- If installments or buy-now-pay-later are offered, the website must identify the provider, total payable amount, schedule, fees, missed-payment consequences, refund handling and which party controls credit approval.
- A refund approved by Truvar.ai may still be processed through the financing provider under that provider’s timetable and agreement. This must be explained before purchase.
Subscriptions and renewals
- The current in-person course is a one-time purchase unless the checkout expressly states otherwise. No recurring charge may be created from the course purchase without a clear separate agreement.
- If a future membership or subscription is offered, the page must show the billing frequency, trial terms, renewal price, renewal date, cancellation method, access after cancellation and refund terms before confirmation.
- A free trial must not become paid without clear prior disclosure and valid authorization. Cancellation should be reasonably accessible through the same service environment or an equally simple method.
Fraud and payment security
- Truvar.ai may verify suspicious or inconsistent transactions and may pause enrollment while the payer’s authority is confirmed. Verification should collect no more information than necessary and should use a secure channel.
- The checkout must not display unsupported compliance seals or security certifications. It may accurately identify the payment provider and the security features actually in use.
